• Payment information: processed securely by our payment provider; we do not store full card details.

• Technical data: IP address, browser type, device type, and cookies (including via analytics tools).

4. How We Use Your Data

We use your data to:

• Respond to enquiries and bookings.

• Process payments.

• Administer prize draws, competitions, and promotions, including allocating prizes and contacting winners.

• Send newsletters and marketing communications (only if you have opted in).

• Improve our website and services.

5. Legal Basis for Processing

We process personal data under one or more of the following legal bases:

• Consent (e.g., for marketing emails, newsletter sign-up, and event marketing follow-up — given separately and specifically for each purpose).

• Contract (e.g., fulfilling a booking, or administering a prize draw under its published terms).

• Legal obligation (e.g., accounting records).

6. Third-Party Processors

We use the following categories of service providers, who act as data processors on our behalf:

• Payment processing services.

• Scheduling tools.

• Event lead-capture providers (used at trade shows and industry events).

• Website hosting provider: Wix.com Ltd.

We ensure all processors comply with UK GDPR requirements and operate under written data processing agreements.

 

7. Events, Trade Shows and Promotions

When you visit us at a trade show, exhibition, or industry event, we may collect your contact details by scanning your event badge using a third-party lead-capture provider. The provider acts as our data processor under a written agreement and does not use your data for its own purposes.

Prize draws and promotions: Where you enter a prize draw or competition we run, we use your data to administer the draw, allocate prizes, and contact winners. Our lawful basis for this is contract performance (the prize draw terms and conditions you accept on entry) and our legitimate interests in running marketing activity. Specific terms and conditions for each promotion will be made available at the point of entry.

Marketing follow-up: If you give separate, specific consent at the event, we will contact you about studio services, advertising opportunities, or other matters you have opted in to. You can withdraw consent at any time using the unsubscribe link in any email or by contacting us at the address in section 2.

Event data retention: Event-captured data that does not result in further engagement is retained for 12 months from the date of the event, after which it is deleted unless you have entered into a contract or commercial relationship with us, or have given consent for ongoing marketing.

 

8. Data Retention

We retain personal data for 24 months after the last contact unless a longer or shorter period applies (e.g., accounting records are kept for six years; event-captured data without further engagement is kept for 12 months as set out in section 7).

 

9. Data Sharing

We do not sell or rent personal data to third parties. We may share data internally within other units of Morden Wolf Ltd, solely for purposes consistent with this policy.

 

10. International Transfers

Where our third-party service providers store data outside the UK, we ensure appropriate safeguards are in place, such as standard contractual clauses.
